Setting up an Appointment Type
How do I create an appointment type?
Navigate to the Settings → Calendar → Appointment Types. Click the ‘+ New’ button to get started. A screen will appear where you’ll fill out the name of the appointment type, the category of users who can administer these appointments, the duration of these appointments and their location as well as a brief description of this appointment type. Appointments types can be color coded to for quick viewing from the Calendar. You can select from the appointment type settings below:

|

How should Fold show the list of providers when this appointment type is being scheduled? | User Roles: Appointment can be booked with any user assigned to the selected user role(s). You can select multiple user roles. Providers: Appointment can be booked only with the specific provider(s) Care Team: Appointment can be booked only with the patient’s assigned care team member(s) who have the role that you select. You can only select one Care Team role. Care team members are assigned on the patient profile. |
On which days of the week and time(s) is the appointment type applicable? | Since the schedule already obeys the availability of the provider, you can use this configuration if you need to limit the options for this appointment type (e.g., Fridays from 1-4pm). |
Allow Self-Scheduling?
| Checking this box will allow patients to self-schedule using the app or portal AND will allow the staff to send booking links for this appointment type. Options: Yes, allow self-scheduling:
No, do not allow self-scheduling |
Require confirmation/RSVP for this Appointment Type?
| Yes – Enabling RSVP means that when an office staff member initiates an appointment, the patient will need to confirm the appointment before it is put on the schedule. The appointment remains in Pending status and will show up in the Fold schedule as such until a patient RSVPs, however, the appointment slot will not be blocked nor show up in the EHR. If the appointment was self-scheduled by the patient, selecting “Request a response” will require the provider to confirm their availability for that appointment, which will also cause the appointment to remain in pending status. Once the provider moves the appointment from Pending to Booked status, it will be blocked and sync to the EHR. No – Patient does not need to RSVP and when the appointment is made by either he patient or the staff member, it immediately moves into a “Scheduled” status and syncs to the integrated EHR (if one exists). |
Limit cancel and reschedule time? | Yes, limit cancel or reschedule time:
No, do not limit cancel or reschedule time |
Instructions for staff | Allows you to “hard code” instructions to the staff based on appointment |
