Streamline Task Management with Task Analytics
We are excited to unveil our new Task Analytics feature, designed to provide administrators and staff members with invaluable insights into task management, workload distribution, and productivity across the practice.
Task Overview: The Task Overview widget allows users to visualize overall task distribution based on status and task completion rate. Users can refine and analyze completion rates based on specific parameters relevant to their workflows, empowering them to make informed decisions and drive productivity.
Metrics Highlights: The Task Analytics feature includes other essential metrics such as Average Time to Resolution, Task Added vs. Completed, and On Time vs. After Due Date analysis. These metrics offer actionable insights into task performance, enabling users to identify trends and optimize workflows effectively.
Distribution Analysis: With a focus on task distribution analysis, administrators can now delve deeper into workload distribution and completion rates across the team. This empowers administrators to make informed decisions and allocate tasks more effectively.
Widgets and Filters: The Provider Web app features dedicated widgets for each metric, providing users with clear visual representations of task analytics. Additionally, a range of filters, including date range, employer, priority, task pools, and labels, allows users to customize their analytics view and gain deeper insights into specific aspects of task management.
Access and Interface: Task Analytics will be available to users on the Provider Web app. Admin users (those with the Business/Practice Owner role) will access a comprehensive administrative view of these widgets, offering oversight of practice-wide task management. Non-admin users (all other roles) will view widgets tailored to their individual task context, ensuring personalized insights for efficient workflow management.
Enhanced Softphone Call Handling
Users now receive immediate notifications for incoming calls, including both ringing and visual pop-ups, even while on an active call, ensuring they are aware of all incoming communication attempts.
Call waiting functionality has been introduced, offering iOS users options to hold and answer, end and accept, or ignore incoming calls, enhancing their call management experience.
Web users can now choose between decline or end and accept options when receiving an incoming call, improving their flexibility in handling calls.
Android users are provided with options to decline or hold and accept incoming calls, optimizing their call-waiting experience.
In case of an in-progress outgoing call, users can now choose between decline and end and accept new incoming calls on all platforms (iOS, Android and web)
These updates require a Force Update for iOS and Android devices, ensuring all users can access the new call-waiting functionality in the Fold Grow apps. We recommend that users update their apps to utilize these enhancements.
Configure Appointment Booking Window for Self-Scheduling
We're introducing the ability to set limitations on when appointments can be scheduled, rescheduled and cancelled by members within the Provider web settings. Users can now configure the booking window for specific appointment types, ensuring greater control and alignment with practice preferences.
Key Features:
Customizable Booking Window: Users can define an upper limit (Within __ mins/hours/days/weeks in the future) and a lower limit (At least __ mins/hours/days/weeks in advance) for appointment scheduling. This ensures patients cannot schedule appointments too far in advance or too close to the current time.
Limit Cancel and Reschedule Times: Users can also define a time limit up to which patients can cancel or reschedule an appointment before the actual appointment time.
Time Zone Compatibility: Start and end dates respect the patient's time zone, ensuring accurate scheduling regardless of location.
Add Media Content to Tasks
We're thrilled to introduce the ability to add media content from the Media Library to tasks, enhancing collaboration and resource-sharing within the Provider web and native apps.
Key Features:
Seamless Attachment: Users can now attach files from the Fold media library or from their local devices directly to tasks during task creation or editing, streamlining communication, and enhancing accountability.
Versatile Media Support: Various media types including images, videos, gifs, and audio files are supported for attachment to tasks, providing flexibility in content sharing.
User-Friendly Interface: Users have the option to select files from both the Media Library within Fold as well as their local devices using a file selection dialog, ensuring ease of use.
Patient and Provider Representation: The uploaded media attachments will be accessible in both patient and provider apps, with options for previewing media within tasks and visual indicators for tasks with attached media.
Task Audit History: Any additions, updates, or deletions of media are recorded in the task audit history, ensuring transparency and accountability.
Please note that media content can be added to standalone tasks created directly by the practice users today and not in tasks generated through automations or care journeys.
Outlook Email Integration in Fold (Flag Based Feature)
Users can now configure their Outlook email address within the Fold table space settings, enabling seamless email communication with patients directly from Fold.
After configuring their Outlook email in Fold, users can send/recieve emails to patients using the same email address, enhancing efficiency and streamlining communication processes.
The emails will sync to the configured Outlook email inbox, and any emails sent/received through Fold will sync in the Outlook inbox and vice versa.
With Fold’s capability to assign conversations and archive, users can leverage the features within Fold to manage their inboxes in Fold.
Users can send forms, articles, appointments links, etc. to Patients and Prospects using the Outlook email inbox from Fold.
NB: To enable this feature please reach out to Fold Customer Success Team.
Filter Notes by Note Status
Now, users can filter patient notes by status in the Provider web and native app interface. Choose from "In-progress," "Signed," or "Signed and amended" to streamline note management. Users can select multiple statuses, and the latest notes are displayed first. This feature seamlessly integrates with existing filters and includes advanced options to filter by user and date. Enhancing efficiency and organization in note management, this update offers a smoother user experience.
Please note that note filter is not currently available with Elation as the underlying EHR.
Bulk Marking of Unread Messages as Read
· Users of the Fold Grow App (or Provider Web App) can now efficiently manage their unread conversations marking multiple chats, SMS, or emails as read in bulk.
· A new button within the app interface allows users to select desired unread messages and then mark them as read with a single click.
· Upon clicking "Mark All as Read," users are prompted with a confirmation dialog to ensure their intention before proceeding.
·After confirmation, all selected unread messages are promptly marked as read, accompanied by a visual confirmation for user reassurance.
·Bidirectional sync ensures that marking notifications as read on either the mobile app or the Web App reflects the changes across both platforms seamlessly.
Custom Attributes Integration Across Workflow
Defining Custom Attributes: Users can now define custom attributes under Content > Forms, tailoring the system to their specific needs and data requirements.
Custom Attributes in Lead/Patient Forms: The defined custom attributes seamlessly populate under the Add Lead/Patient form, enabling users to capture and store additional information as needed.
Bulk Import Auto-Population: During bulk import of Leads/Contacts, additional custom attributes are automatically populated, ensuring efficient data handling and accurate record keeping.
Visibility in Patient Quick View: Custom attributes set for patients are now visible under patient quick view, providing users with comprehensive insights at a glance.
Filtering Contacts based on Custom Attributes: Contacts (Leads/Patients/etc.) lists can now be filtered based on the defined custom attributes, facilitating targeted communication and management.
Integration with Automation and Campaigns: The defined custom attributes are accessible in Automation and Campaigns, empowering users to create and run targeted campaigns and automation based on specific attributes.
Conversion of Lead to Patient: When converting a Lead to a Patient, previously added custom attributes are carried forward and visible on the quick profile, providing continuity and ensuring data consistency.
Alert for Missing Custom Attributes: If a custom attribute is mapped to a Lead but not to a Patient during conversion, the system prompts an alert, providing options to merge existing attributes or create new ones for the Patient module.
View Notes in Form Analytics
Users can now access notes data (forms categorized as "Notes") within form analytics on the provider web app. With this update, all note information will now appear in the appropriate section or question within the analytics view for that note.
Form Response Widget Modification: The form response widget has been revamped to align more closely with note statuses. Users will now see statuses such as "In progress," "Signed," and "Amended" displayed. "Not started" statuses will not be considered or displayed in the analytics for these forms.
Enhanced Data Representation: "In-progress" and "In-progress(unlocked)" notes will be categorized under "In progress" in the form response widget, while "Signed and amended" notes will be categorized under "Completed." Tooltips against each status in the widget will provide users with clear indications of these categorizations.

Import Patient Record Data in Notes
Health components included in Notes will now read and write back data to the patient record on Fold and the underlying EHR, improving efficiency in patient record management. Users will have the option to import details from the existing patient record, specifically for health components.
Data Write-back: Any data entered in the note health components will automatically sync back to the patient chart, ensuring data consistency and accuracy. This synchronization occurs only upon sign or sign and amend actions on the note.
Selective vs. Complete Override: For specific health components such as Patient demographics, Communication, Address, Emergency contact, and Social history, importing from the chart will completely override any manually entered data in the note. For other health components, the import function will fill additional data and update existing entries based on the patient record.
Settings Configuration: The 'Keep fields editable' configuration in Settings > Forms is now applicable within the context of the note. If the option is checked for that note, then users will be able to view and edit data in the corresponding health component fields in that note on any patient profile.
Integration Scope: This functionality is applicable within the Provider web app, enabling users to reconcile record data into notes, which was not previously possible.
NB: This functionality is currently not applicable to Elation as the underlying EHR, given that we only sync simple notes with Elation.
